Move project tasks into the calendar¶
What this is for¶
A project task can stay in the plan without a date until you pick a working day. Once scheduled, it has a linked entry in Tasks, so you can work on the calendar and still see the task in the project.
How to get there¶
Choose Goals & Projects → Projects Planner (/projects-planner)
or open the project details in Projects (/projects).
Step by step¶
- In Projects Planner, choose a project on the left and click Add Task.
- Enter a Name, set Effort estimate and optionally a Description. Leave the schedule empty if the task is to wait without a date.
- To pick a date, fill in Start date, End date or Duration (calendar days) following the schedule rules. Optionally set Calendar start time, then click Create.
- Schedule an existing task by clicking an empty day in its row. Dragging a bar or marker moves the date. Clicking the name or Dates opens schedule editing; confirm with Save.
- Open Planning → Tasks (
/tasks) or the calendar and check the linked entry. - Mark the task as done. The app passes the completion state between the project task and its linked entry.
Fields and options¶
| In the project plan | In the linked calendar entry |
|---|---|
| Name, description, estimate and priority | Copied when scheduling and updated by synchronization. |
| Schedule dates | Store the day range; the time is set in the linked entry. |
| Effort estimate | Sets the entry length on the start day, regardless of the number of schedule days. |
| Clear schedule | After saving, removes the linked calendar entry, keeping the project task. |
| Completion | Closes the linked entry, keeping it; reopening passes the open state. |
| Color | A plan task has no color field of its own; a live entry can have its own color. |
In the project details, Include subprojects extends the task list, and Overdue only limits it to overdue tasks. Changing the day in the Needs attention section leaves the task deadline unchanged.
Common mistakes / pitfalls¶
- Creating a task without a date does not create a calendar entry.
- Planned end is the project deadline, not a date for automatically scheduling tasks.
- If Retry calendar sync appears, the project change is saved but the calendar update failed. Click this button and check the calendar entry again.
- Do not equate deletion with completion. Explicitly deleting the linked task in Tasks also removes its project row; Clear schedule keeps the plan.
